CAA Management is a locally owned and operated company within the Mohawk Territory of Akwesasne. It is the umbrella company for Twinleaf-branded convenience stores, fuel stations, food and beverage venues, and other interests. The mission of CAA Management is to deliver quality goods and service to Akwesasne and the surrounding community.

 

 

THE OPPORTUNITY

The Construction Administrative Assistant will provide full administrative support to the Construction and Maintenance department to ensure the smooth operation of Akwesasne Earth Movers (AEM) and CAA Management’s Maintenance department and systems.

 

 

JOB DUTIES AND RESPONSIBILITIES

  • Provide office, project, and administrative support including preparation of correspondence, reports, memo’s, letters, meeting minutes, assisting in preparation of monthly reports, and other special reports as requested utilizing MS Office-Word, Excel, Outlook and PowerPoint when necessary
  • Act a liaison between construction and maintenance, coordinating daily activities of field staff, maintenance and other departments
  • Answer all incoming department calls directing and coordinating information within department
  • Log all incoming and outgoing mail, coordinating deliveries of department, or project site materials, communicating with vendors and informing appropriate site personnel when delivers arrive or are expected to arrive
  • Maintain department supplies and materials, sourcing items when requested, coordinating and communicating with outside vendors as needed
  • In preparation of weekly payroll, compile employee hours from time clock system working with Supervisors to resolve timekeeping discrepancies and omissions in a timely manner
  • Coordinate new employee paperwork/onboarding, ensuring forms are completed accurately, and forwarding appropriate documentation to Human Resources. Set up and train new employees to use time tracker app (T-sheets)
  • Assist the Maintenance Manager in becoming an expert in the Hippo Maintenance software program to efficiently manage preventative and on-demand maintenance for all CAA Management buildings and facilities
  • Coordinate with Maintenance Manager the; preventive maintenance schedules, work order management to ensure efficient follow through on maintenance and repair tasks in real time, equipment maintenance gathering and organizing appropriate information such as; photos, manuals and maintenance records, and inventory control
  • Assist Maintenance Manager with the development of future work order process and training appropriate department heads on process
  • Perform additional duties as requested by supervisor

 

 

QUALIFICATIONS:

  • High School Diploma, GED, or Equivalent Certification and a minimum 2 years administrative experience required
  • Proficient in Microsoft Office Suite with a basic knowledge of Adobe Program (Illustrator & Photoshop)
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to work independently and efficiently under pressure, adapting to changing competitive conditions
  • Knowledge of Mohawk culture and surrounding area markets is an asset
  • Native Preference hiring policy is utilized for this position
